How it works

From a vague goal to a finished workshop

  1. Describe the goal

Plain words are enough: "figure out why retention dropped." Add who's coming and how much time you have.

  2. Get a plan that fits

Activities chosen for your goal, sized for your group, and timed to the minute, with the reason behind each one.

  3. Let it run the room

It frames the problem, collects ideas, groups them, runs the vote, and writes up what was decided and who owns it.

Example

A 45-minute workshop, planned for you

Goal: "Figure out why customer retention dropped." Group: 5–8 people. Every activity comes with its purpose, so you can explain the plan to the room.

  1. 5

    min

    Problem framing

    Frame

    0:00–0:05

Agree on the problem and what a good outcome looks like before anyone suggests solutions.

  2. 8

    min

    Five Whys

    Go wide

    0:05–0:13

Ask why the problem happens until you reach a cause worth solving, so the team doesn't brainstorm fixes for a symptom.

  3. 10

    min

    Silent brainwriting

    Go wide

    0:13–0:23

Everyone generates ideas independently before discussion. This helps prevent the loudest voices from shaping the entire brainstorm.

  4. 7

    min

    Affinity mapping

    Narrow

    0:23–0:30

Group similar ideas into themes so patterns show up instead of a long list.

  5. 8

    min

    Impact vs. effort

    Narrow

    0:30–0:38

Plot the top ideas on a 2×2 so quick wins and big bets are visible at a glance.

  6. 7

    min

    Action planning

    Decide

    0:38–0:45

Turn the top ideas into owners, dates, and a first step. Workshops without this rarely change anything.

Why this plan

Your goal sounds like diagnosing a problem, so we look for causes before anyone proposes fixes.

With 5–8 people, ideas are written silently first so quieter voices count as much as louder ones.

45 minutes leaves room to frame the problem properly before generating ideas.

Adaptive facilitation

Built to adjust when the room does

A good facilitator notices what's happening and changes course. This is what the full version is being designed to do. The demo above shows a simplified, scripted version.

  • When

    The group is stuck

    It will

It switches technique, say from open brainstorming to reverse brainstorming, and offers one concrete prompt to restart the room.

  • When

    One voice dominates

    It will

It moves to silent writing so every idea is captured before discussion, then invites quieter people in by name.

  • When

    Too many ideas

    It will

It clusters them into themes and moves to voting, so the group compares a few themes instead of forty sticky notes.

  • When

    Time is running out

    It will

It compresses what's left, drops the optional steps, and protects the last five minutes for owners and dates.

  • When

    The problem isn't clear

    It will

It pauses idea generation and runs a short framing round until everyone agrees on what you're solving.

What you leave with

A report the group can act on

Every session ends with findings, prioritized opportunities, and actions with owners. Paste it into Slack, a doc, or your next standup.

Key findings
  1. Users take too long to reach the first meaningful result.
  2. There is little reason to come back the next day.
  3. Reminders are generic, so people ignore them.

Questions

Who is this for?

Product managers, engineering managers, founders, and consultants who run workshops but don't want to spend an evening planning each one.

Is the demo using AI?

The demo runs pre-built facilitation logic in your browser. The agenda changes with your goal, team size, and time. The sample team's ideas are illustrative. The full version would facilitate your real team live.

Does it replace Miro or FigJam?

No. A whiteboard gives you a blank canvas. This gives you the plan, the prompts, the timing, and the write-up. It's the facilitator, not the wall.
